This Privacy Policy explains how Rasa Rusa Ltd (trading as Casa Rasa) collects, uses, and protects your personal information when you visit casarasa.uk or apply for or hold a Casa Rasa membership. Please read it carefully. If you have any questions, contact us at hello@casarasa.uk.
1. Who We Are
1.1Rasa Rusa Ltd (company number 16964694), registered in England and Wales, whose registered office is at Flat 20, 219 Baker Street, London NW1 6XE, operates the membership community and website known as Casa Rasa (“Casa Rasa”, “we”, “us”, “our”).
1.2We are the data controller for the personal information we collect through our website and membership activities. This means we are responsible for deciding how and why your personal data is used.
1.3We are not currently registered with the Information Commissioner’s Office (ICO) as we process personal data on a small scale for community purposes only. We are committed to complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. What Information We Collect
2.1Application and enquiry data. When you submit an introduction or enquiry through our website form, we collect the information you provide, which may include your name, email address, and any details you include in your introduction.
2.2Membership data. If you become a member, we hold your name, email address, any preferences or dietary requirements you share with us, and records of your membership status and quarter history.
2.3Payment data. Membership payments are processed through Squarespace and Stripe. We do not store your payment card details. Stripe and Squarespace process and store payment information in accordance with their own privacy policies and PCI DSS standards.
2.4Communications. We keep records of emails and other communications between you and Casa Rasa for correspondence and membership management purposes.
2.5Website usage data. When you visit casarasa.uk, Squarespace automatically collects certain technical data, including your IP address, browser type, pages visited, and time spent on the site. This is collected via Squarespace’s built-in analytics.
2.6We do not collect sensitive personal data (such as health information, race, religion, or political views) and ask that you do not include such information in your application form or communications with us.
3. How We Use Your Information
3.1We use your personal information for the following purposes:
(a)to review your application and decide whether to offer you membership;
(b)to manage your membership, including placing you at tables and communicating about upcoming events;
(c)to process your quarterly membership payments;
(d)to send you membership-related communications, including event invitations, availability checks, and renewal reminders;
(e)to accommodate dietary requirements and allergies at events;
(f)to respond to your enquiries and manage correspondence;
(g)to analyse how our website is used so that we can improve it.
3.2We will not use your personal information for automated decision-making or profiling.
3.3We will not send you unsolicited marketing communications. Any communications we send will relate directly to your membership or application.
4. Legal Basis for Processing
4.1Under UK GDPR, we must have a lawful basis for processing your personal data. We rely on the following bases:

5.2We may also disclose your personal data if required to do so by law or to protect the rights, property, or safety of Casa Rasa, our members, or others.
5.3We do not share your personal data with other members except where you have consented to being introduced or included in a member directory. Any such sharing is governed by our Terms & Conditions and Code of Conduct.
6. Cookies and Analytics
6.1Our website uses cookies. Cookies are small text files placed on your device when you visit a website. We use cookies for the following purposes:

(b)Membership data is retained for the duration of your membership and for up to three years after your membership ends, for accounting and legal purposes.
(c)Payment records are retained for seven years to comply with our legal and tax obligations.
(d)Email correspondence is retained for up to three years from the date of the last communication.
(e)Website analytics data is retained in accordance with Squarespace’s own retention policies.
7.3When data is no longer needed, we securely delete or anonymise it.
8. Your Rights
8.1Under UK GDPR, you have the following rights in relation to your personal data:
